Information Collected Automatically
- Phone numbers: When you call a RoofingReply-registered business number, your phone number is captured automatically via our telephony provider (Twilio).
- Call metadata: Date, time, duration, and call status (answered, missed, busy) of inbound calls.
- SMS conversation content: The full text of any SMS messages exchanged between you and the RoofingReply system, including your replies.
- Timestamps: The date and time of each message sent or received.
Information You Provide
- Any information you voluntarily share in SMS replies, such as your name, address, roof size, type of roofing issue, or other details relevant to a service quote.
Information We Do Not Collect
- We do not collect payment card information, social security numbers, or government-issued identification.
- We do not record voice calls unless explicitly stated in a separate notice.
- We do not collect location data beyond what you voluntarily share in messages.
2. How We Use Your Information
We use collected information for the following purposes:
- Lead follow-up: To send automated SMS messages on behalf of the roofing business you contacted, in response to a missed call you initiated.
- Lead qualification: To gather information about your roofing needs so the business can provide accurate quotes or schedule a consultation.
- Business notification: To alert the roofing contractor when a lead is qualified and ready to be contacted.
- Service improvement: To analyze aggregate, anonymized data to improve the RoofingReply service.
- Legal compliance: To maintain records required by applicable law, including TCPA compliance logs.
We do not use your information for advertising, profiling, or any purpose unrelated to the roofing service you contacted.
3. SMS Messaging & TCPA Compliance
RoofingReply operates under the Telephone Consumer Protection Act (TCPA) and applicable state messaging laws. By calling a RoofingReply-registered phone number, you acknowledge that:
- You initiated contact with the roofing business by placing a call, which constitutes implied consent to receive a follow-up SMS response.
- You may receive up to 3 automated SMS messages per missed call incident — an initial follow-up, one reminder if you do not respond, and a final response to your inquiry.
- Message and data rates may apply based on your mobile carrier plan.
- You can opt out at any time by replying STOP to any message. You will receive one final confirmation message and no further messages will be sent.
- For help, reply HELP to any message.
All messages are sent between the hours of 8:00 AM and 9:00 PM in the recipient's local time zone, in accordance with TCPA requirements.
Each message identifies the sending business by name and includes opt-out instructions in the first message of every conversation.
4. Information Sharing
We do not sell, rent, or trade your personal information to third parties. We share information only in the following limited circumstances:
- With the roofing business you contacted: Your phone number and conversation content are shared with the roofing contractor who operates the RoofingReply number you called. This is the primary purpose of our service.
- With Twilio, Inc.: Our telephony and SMS provider processes all phone calls and messages on our behalf. Twilio acts as a data processor under our instructions. See Twilio's Privacy Policy.
- For legal compliance: We may disclose information if required by law, court order, or government request, or to protect the rights and safety of RoofingReply, its users, or the public.
5. Data Retention
We retain your personal information for the following periods:
- Phone numbers and conversation logs: Retained for up to 12 months from the date of the missed call, unless the roofing business requests earlier deletion or you exercise your right to deletion.
- Opt-out records: We retain records of STOP requests indefinitely to ensure we honor your opt-out preference.
- Call metadata: Retained for up to 24 months for compliance and dispute resolution purposes.
After the retention period, data is permanently deleted from our systems.
6. Your Rights & Opt-Out
Opt Out of SMS Messages
Reply STOP to any RoofingReply message at any time. You will receive a single confirmation and will receive no further messages. This opt-out is permanent unless you contact the business directly to re-engage.
Access & Deletion
You have the right to request access to the personal information we hold about you, or to request that we delete it. To exercise these rights, contact us at the address below. We will respond within 30 days.
California Residents (CCPA)
California residents have additional rights under the California Consumer Privacy Act, including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information (we do not sell personal information). To exercise these rights, contact us using the information in Section 10.
7. Data Security
We implement industry-standard technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These include:
- Encrypted data transmission (TLS/HTTPS) for all API communications
- Access controls limiting data access to authorized personnel only
- Regular security reviews of our codebase and infrastructure
However, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security and encourage you to contact us immediately if you believe your information has been compromised.
8. Third-Party Services
RoofingReply uses the following third-party service providers who may process your data:
